Sumba Retreat Terms and Conditions

All persons wishing to book a Sumba Retreat must carefully read and understand the Terms and Conditions that follow. By making a retreat booking with Erin Tetarenko and Sarmarie Higgins ("the retreat hosts"), you agree to be bound by these Terms and Conditions, which govern the relationship, cancellation policy, and limitations of liability.

Terms of Service

Inclusions are listed on the retreat description page. Airfares, travel insurance, visas, immunisations, and add-on services are not included.

Payment Policy

  • All prices are listed in AUD and are per person.

  • A deposit of 850 AUD is required upon application and confirmation of available accommodation to secure your spot.

  • Full payment is due 40 days prior to retreat commencement (by 20th August, 2025).

  • Payment can be made via AUD bank transfer or Wise transfer. Any banking fees associated with payment will be covered by the participant.

Flight Bookings

Please do not purchase airfare until you receive written confirmation from the retreat hosts that the minimum number of participants has been met and the retreat is officially proceeding. We are not responsible for any costs incurred from flights purchased before this confirmation. We strongly recommend booking refundable or flexible tickets and securing comprehensive travel insurance.

Waitlist Policy

  • If the retreat is full, we can add your name to our waitlist upon request.

  • If a spot becomes available, we will contact you and a deposit of 850 AUD will be required immediately to secure your place.

Cancellation and Refund Policy

We understand that life happens. Our cancellation policy is designed to be fair and transparent:

  • More than 60 days before the retreat: If we can fill your space, a full refund will be issued minus a 200 AUD administrative fee.

  • Less than 60 days before the retreat: The 850 AUD deposit is non-refundable.

  • Failure to pay by the due date: Your place may be offered to someone on the waitlist.

  • After the retreat begins: No refunds will be issued.

Refund processing fees from banks or wire transfers are the responsibility of the participant.

Transfer Policy

  • To request a transfer to another retreat, a written request must be submitted.

  • If a waitlisted participant fills your space, a transfer may be allowed for a 200 AUD fee.

  • If the spot cannot be filled, the regular refund policy applies.

Retreat Cancellation by Hosts

The retreat hosts reserve the right to cancel or postpone the retreat due to unforeseen or extraordinary circumstances. In such cases:

  • You will receive a full refund or may choose to transfer payments to a future retreat.

  • We are not responsible for any incidental or consequential expenses such as flights, travel documents, preparation costs, or loss of earnings.

Force Majeure

We are not liable for failure to perform obligations if such failure results from events beyond our control, including natural disasters, war, pandemic, or government restrictions.

Medical Conditions and Special Requirements

  • Please notify the retreat hosts in writing during the booking process of any recent or current medical conditions, pregnancy, disabilities, or other considerations that may affect participation.

  • While we will do our best to accommodate special needs, we are not required to do so unless agreed to in writing.

  • Participants must be physically and mentally fit to join in retreat activities and are advised to consult a healthcare professional if uncertain.

Acceptance of Risk

By joining the retreat, participants acknowledge that:

  • They are engaging in activities that may involve risk.

  • They assume full responsibility for these risks.

  • They release the retreat hosts from any claims for injury, damage, or death arising from participation.

A participation waiver must be signed before the retreat begins.

Participant Responsibility

  • Participants acknowledge the cultural, political, and physical environment of the retreat destination may differ from their home environment.

  • It is their responsibility to be informed about local customs, conditions, and laws.

  • Participants are encouraged to contact local embassies or consulates before traveling.

Adventure Activities and Additional Risks

Some retreat activities may include hiking, swimming, surfing, or other physical excursions. Participants acknowledge the risks involved and accept personal responsibility for their safety during such activities.

Arrival & Departure Policy

Participants are responsible for arriving on the start date (29th September 2025) and departing on the final day (5th October 2025). Early arrivals or late departures are not covered and may require separate accommodation arrangements.

Travel Requirements

  • Participants are responsible for obtaining valid travel documents including visas.

  • Passports must be valid for at least 6 months beyond the return date.

  • Participants are responsible for meeting any immunisation or testing requirements.

  • Medical travel insurance is required.

  • It is strongly recommended to purchase travel insurance that covers cancellation, injury, illness, and other unforeseen circumstances.

By completing a retreat booking, you agree to these terms and accept all related responsibilities.
